Stop Emailing Attachments Between Your Own Staff

Every small office I walk into has the same folder on someone's desktop: Budget_2026_FINAL_v3_amanda_edits_USE_THIS_ONE.xlsx. If that file exists on your machine, this post is for you.

The problem isn't email. It's the attachment.

When you email a spreadsheet to a coworker, you've just created a second copy of the truth. They edit theirs, you edit yours, and now nobody knows which one is real. Multiply that by 15 people and a few weeks. You end up in a meeting arguing over whose numbers are right, and the answer is usually "nobody's, because we've been editing four different files since Tuesday."

The fix isn't complicated. Stop sending the file. Send a link to the file. One file, one location, everyone editing the same thing. This is the entire pitch for SharePoint, OneDrive, Google Drive, and Dropbox. You are almost certainly paying for at least one of them already through your Microsoft 365 or Google Workspace subscription. You're just not using it correctly.

What "doing it right" actually looks like.

Here's the workflow for a 15-person office that I'd set up on a Tuesday and have running by Friday:

  • One shared drive per department. Not per person. Sales has a drive. Ops has a drive. Finance has a drive. Files live there, not on desktops.
  • Access is by group, not by individual. When someone joins Sales, they get the Sales group and inherit access. When they leave, you remove them from the group and access to every file vanishes at once.
  • Sharing outside the company is a link with an expiration date. Not an attachment. If the client needs the file after 30 days, they can ask, and you know they asked.
  • Nobody saves anything important to their local desktop. If your laptop gets stolen at the airport, the correct reaction is "annoying" not "catastrophic."

The reason this matters more at 15 people than at 5 is that at 5 people you can yell across the room and figure out which file is current. At 15 you can't. At 20 you definitely can't. The habits you build now are the ones you'll be stuck with at 40.

The migration is the hard part, not the tool.

Picking the tool takes an afternoon. Getting people to actually stop attaching things to emails takes a quarter. The move that works: pick one department, move their files, turn off their ability to email attachments internally for a week, and let them complain. They'll adjust. Then do the next department. Trying to boil the ocean and migrate the whole company at once is how these projects die on the vine.

Ship the thin version this month. Sales-only, one shared drive, links instead of attachments. Improve it next month. Don't wait until you've designed the perfect folder taxonomy, because you never will, and meanwhile people are still emailing FINAL_v3 around.
